What it is
Asana is one of the world’s most widely used project and work management platforms — a tool for organising tasks, projects, timelines, and team workloads. Teams use it to track who is doing what, by when, and what depends on what.
Asana AI adds intelligence directly into this workflow:
- Smart summaries: Summarise the status of a project or task thread in one click
- Task drafting: Describe a task in natural language; AI creates the structured task with description, assignee suggestions, due dates, and subtasks
- Goal and status reports: Auto-generate project status updates based on current task progress
- AI Studio: Build custom no-code AI workflows (“When a form is submitted → AI categorises it → creates tasks → assigns to the right team”)
- Priority suggestions: AI analyses workload and flags which tasks are at risk or need attention
- Meeting prep: Summarise recent activity on a project before a meeting
What you’d use it for
- Managing multi-person projects where tasks need tracking and accountability
- Getting AI-generated status reports without writing them manually
- Automating intake workflows (request forms → AI routing → task creation)
- Reducing time spent writing task descriptions and project updates
- Getting AI-surfaced alerts when projects are at risk
How to sign up + first 5 minutes from Australia
- Go to https://asana.com → click Get started for free
- Sign up with your Google account or email (no credit card needed for free plan)
- Create your first project — choose a template (marketing, product, operations, etc.) or start blank
- Add tasks and invite team members
- On any task, look for the Asana Intelligence (sparkle ✨) icon to access AI features — summarise, draft description, get recommendations
- In the left sidebar → AI Studio (Advanced/Enterprise plans) to build AI workflows
The free plan has basic AI features; the full AI Studio and advanced automation require Starter or above.
What it costs
| Plan | Price | AI features |
|---|---|---|
| Free | $0 | Basic task management; limited AI |
| Starter | ~$14 USD/user/month (billed annually) | Smart summaries, AI task drafting, priority suggestions |
| Advanced | ~$25 USD/user/month | Full AI Studio; custom AI workflows; goal summaries |
| Enterprise | Custom pricing | Advanced compliance, data residency, SSO |
Australian billing is available in AUD on some plans; check at time of purchase.
How it compares to alternatives
| Tool | AI strength | Best for |
|---|---|---|
| Asana AI | Strong; AI Studio for workflows | Mid-large teams; structured project management |
| Notion AI | Strong; flexible; everything in one | Knowledge management + projects; smaller teams |
| Monday.com AI | Good; similar automation AI | Visual project boards; less rigid structure |
| Linear AI | Strong for software teams | Software development specifically |
| ClickUp AI | Comprehensive; more complex | Teams wanting maximum features |
| Microsoft Project + Copilot | Enterprise depth | Large enterprise; Microsoft-native teams |
Asana’s AI Studio is a genuine differentiator — the ability to build no-code AI workflows for intake, routing, and approval processes is more powerful than most competitors in mid-2026.
Privacy / data handling
- Data stored on AWS (US region by default; Enterprise can opt for EU/US residency)
- SOC 2 Type II and ISO 27001 certified
- AI does not use your workspace data to train Asana’s AI models — this is explicitly stated in their DPA (Data Processing Agreement)
- GDPR compliant; Australian users covered by standard international data transfer protections
- Enterprise plans include a Data Processing Agreement (DPA) for Privacy Act 1988 compliance
- AI features powered by a combination of Asana’s own models and third-party LLM providers (they’ve used OpenAI and other partners — check current DPA for specifics)
Gotchas
- AI features are gated by plan. The most useful AI features (AI Studio, full workflow automation) require Starter or Advanced plans — the free plan gives a taste only.
- AI Studio has a learning curve. Building useful AI workflows requires understanding Asana’s rule builder. Allow 1–2 hours to build your first meaningful workflow.
- AI summaries require active data. If your tasks lack descriptions, comments, or updates, the AI has nothing meaningful to summarise.
- Per-user pricing adds up. For large teams, Asana gets expensive. Evaluate against Monday.com and ClickUp which sometimes offer better pricing at scale.
- Not a substitute for meeting culture. Asana AI can generate status updates, but the underlying project still requires human coordination. The AI doesn’t manage relationships or unblock blockers.
- Integrations matter. Asana is most powerful when connected to Slack, Google Drive, Salesforce, Jira, etc. AI features surface relevant cross-tool context.
Recent changes (LIVING)
- AI Studio (2024): No-code AI workflow builder launched — the biggest AI addition to Asana.
- Asana Intelligence (2023): Initial AI feature set: smart summaries, task drafting, status reports.
- Expanded LLM integrations (2025–2026): Partnerships expanded; AI features became available across more plan tiers.
