What it is

Airtable is a flexible database tool that looks and feels like a spreadsheet but has the power of a database. Teams use it to track everything from product inventories to content calendars to CRM contact lists — without needing a developer to set up a database.

Think of it as a very smart spreadsheet where each row can be a fully structured record with files, relationships to other records, automations, and multiple views (grid, kanban, calendar, gallery, form).

Airtable AI adds:

  • AI fields: A special field type where AI automatically processes every record — e.g., “Summarise this product description in one sentence,” or “Classify this customer feedback as Positive / Negative / Neutral,” or “Extract the key action items from this meeting notes field”
  • AI automations: Trigger an AI action when a record changes — e.g., when a new support ticket arrives, AI categorises it and drafts a response
  • AI data generation: Generate placeholder or test data for your base
  • Cobuilder (AI base builder): Describe what you want to track; AI builds the entire Airtable base (tables, fields, views) for you

Gotchas

  • AI credits are real money. Running AI fields across large bases (10,000+ records) consumes significant credits. Estimate carefully before enabling AI on a large table.
  • AI field results are not real-time by default. AI fields run when a record changes or are manually triggered. For a table that rarely changes, outputs may be stale.
  • The learning curve for complex setups is steep. Basic Airtable is easy; complex linked tables, automations, and AI field combinations require investment. Budget time for setup.
  • Not a spreadsheet. Formulas, pivot tables, and chart types in Airtable differ from Excel/Google Sheets. The learning curve can frustrate spreadsheet power users.
  • AI accuracy depends on field quality. If your “Description” field has sparse or inconsistent text, AI summaries will be poor. Garbage in, garbage out.
  • Privacy note: If you’re storing any personal information in Airtable (customer names, health data, etc.) and using AI fields on that data, you’re sending personal information to OpenAI or Anthropic. Ensure you have appropriate user consent and a DPA in place. The Australian Privacy Act 1988 applies.
